To export Notion form responses to CSV, open the database’s Responses table view, click the ••• menu at the top right, choose Export, and pick Markdown & CSV. Notion downloads a zip file with the CSV inside. You can’t export from the form view itself, so the table view is the step people miss.

Can you export a Notion form directly?

You can’t export a Notion form view directly. Notion’s forms help says it plainly: “At this time, you can’t export a Form view of a database.” The fix it gives: export your questions and responses from a Table view.

A form is only a front end for a database. Notion stores responses by default in a Table view of your database named Responses, and each form question shows up as a database property. Export that table and you have every answer as columns. If you’re fuzzy on how the two views relate, see what the form view in Notion is.

How to export Notion form responses to CSV on desktop

On desktop, you export Notion form responses to CSV from the database’s table view. These steps follow Notion’s export guide:

  1. Open the database your form is connected to.
  2. Switch to the Responses table view (or any table view that shows the answers).
  3. Click the ••• icon at the top right and click Export.
  4. Choose Markdown & CSV from the format dropdown.
  5. Click Export. Notion saves a zip file to your computer.
  6. Unzip it. The database comes out as a CSV file, with Markdown files for each subpage.

Check your access first. Viewing responses only needs Can view access to the database, but a workspace guest needs Full access to the page or database to see the export option at all.

On mobile, the export sits under the same ••• menu. Pick Markdown & CSV under Export format.

Export only some responses with the current view

Notion exports either the current view or the default view, never all views at once. So filter a view first and you export only the rows you need.

Say you run a weekly client intake form and want this week’s submissions in a spreadsheet. Create a table view filtered on Created time for this week, open it, export, and pick the current view. For every response the form has collected, pick the default view.

My take: keep one saved, filtered table view per recurring export, such as “This week” or “Unpaid orders”. Rebuilding the filter each time is how people export the wrong rows.

What’s inside the Notion CSV export

A Notion CSV export holds one row per response and one column per database property. Page content inside each response goes into separate Markdown files, not the CSV.

Switch on Include subpages to download those pages as separate files. A plain form keeps its answers in properties, so the CSV is usually enough.

On large exports, Notion may email you a download link instead of starting the download right away, depending on how many sub-pages are included. If you export a whole workspace rather than one database, the link expires after 7 days. Exports can also take up to 30 hours to process, depending on the size of the workspace.

The real gap: Notion has no scheduled export. Its backup help page answers “Not at the moment” to the question of automatic backups. If you need a fresh CSV every Monday, someone has to click Export every Monday.

Open the CSV in Excel or Google Sheets

Excel and Google Sheets both open the Notion CSV, but import it rather than double-clicking the file, so you control how each column is read.

Google Sheets. Per Google’s import guide, open a spreadsheet and go to File > Import. Upload the .csv and choose an option such as Create new spreadsheet or Append rows to current sheet. Leave Separator character on Detect automatically, or set it to Comma. Append if you keep each week’s export in one running sheet.

Excel. Microsoft’s CSV guide warns that when Excel opens a .csv file, it applies its default data format to each column. That’s how a phone number or ZIP code loses its leading zeros. Use Data > From Text/CSV instead, and set those columns to text before loading. Excel handles up to 1,048,576 rows and 16,384 columns.

Common Notion export problems and fixes

Most Notion export problems come from the view you’re on, your access level, or the zip file itself.

Problem Cause Fix
No Export option on the form Form views can’t be exported Switch to the Responses table view
Export option missing entirely You’re a guest without Full access Ask the owner for Full access
Some responses missing from the CSV You exported a filtered current view Export again and pick the default view
Zip won’t extract on Windows Paths longer than 260 characters Uncheck “Create folders for subpages” or use 7-Zip
Zeros vanish in Excel Excel’s default column formats Import with From Text/CSV and set the column to text

If rows are missing, check the database first. Our guide to Notion form submissions not showing up covers why a response may never have landed.

Exporting responses from a form tool that writes to Notion

If your form runs on a builder that saves into Notion, you have two export routes: the Notion export above, or the builder’s own export. nDBForms writes every submission to your connected Notion database as a new row. It also keeps a copy for its response dashboard, and you can download submissions as a CSV from there.

The dashboard export is quicker when you only need the answers. Use the Notion export if you’ve added properties after responses arrived, like a status or an owner, because those live only in Notion. For how form fields line up with those columns, see mapping form fields to Notion properties.

FAQ

Why can’t I export my Notion form?

Notion doesn’t support exporting a Form view of a database. Switch to the table view that holds the responses, named Responses by default, and export that view instead.

Does the CSV include every response or only the filtered ones?

When you export a database, Notion lets you choose between the current view and the default view. If your current view has a filter, pick the option that matches the rows you want.

Why did my Notion export arrive by email?

If an export is very large, Notion may email you a download link instead of starting the download right away. No email is sent when the file downloads immediately.

Why do leading zeros disappear when I open the CSV in Excel?

Excel applies its default data format to each column when it opens a .csv file. Import it with Data > From Text/CSV instead and set that column to text to keep the zeros.
