How do I get an email notification when someone submits a Notion form?

Turn on the email copy in Form settings for a Notion form email notification, or use a Page added automation to email your team on paid plans.

To get a Notion form email notification, open your form, go to Form settings → Submit screen and choose to receive an email copy of each submission. That covers you on any plan. If other people need the email too, add a database automation that fires on Page added and uses Send mail to, which needs a paid Notion plan and a Gmail account.

The quickest Notion form email notification: the built-in copy

Notion forms have a built-in option to email you a copy of every response. Notion’s forms help puts it under Form settings → Submit screen, next to the submit button’s color and text and the confirmation message. The same page says you “can also choose to receive an email copy of each submission.”

Forms are available to all members on all Notion plans, so this works on Free.

  1. Open the database that holds your form and switch to the form view.
  2. Select Form settings at the top of the form builder.
  3. Choose Submit screen.
  4. Turn on the option to receive an email copy of each submission.
  5. Submit a test response from a private browser window and check your inbox.

Don’t skip the test. If the response lands in the Responses table but no email shows up, either the setting is off or the email is sitting in spam or promotions.

The copy goes to you and nobody else. It won’t reach the colleague who handles support requests.

Why your normal Notion notifications stay quiet

Notion’s regular notification settings don’t cover form responses. The notification settings page lists the triggers: someone @-mentions you or replies to your comment, you’re added to a Person property, or a reminder you set comes due.

So changing Settings → Notifications does nothing here. A new form row isn’t on the list.

There is a back door. If an automation adds you to a Person property on each new response, that counts as a notification. Per the same help page, Notion then emails you only when you don’t have Notion open, or when mobile notifications are off and you haven’t seen the alert within five minutes. Slower and less predictable than the email copy.

Email your team with a Page added automation

A database automation can email anyone, including people outside your workspace, every time a form response arrives. Each Notion form response is a new page in the database, and the database automations help says the Page added trigger fires “when a new page is added to your database.”

Pair it with the Send mail to action. Notion describes it as sending “an email from your Gmail account to one or more recipients.”

Say a small agency takes project inquiries through a Notion form, and each lead has to reach both the founder and the sales lead fast:

  1. In the form builder, select ••• at the top, then Automations.
  2. Set the trigger to Page added.
  3. Add the action Send mail to and connect a Gmail account.
  4. Enter both email addresses as recipients.
  5. Write a subject such as “New inquiry” and include the key answers in the body.
  6. Save, then send a test response.

Notion’s forms page says these automations let actions run “when you get a new response or when a question is answered a certain way.” So the agency could email the sales lead only when the budget answer is high and skip small requests.

What the Send mail to automation needs

The Gmail action is the most flexible option, but it has conditions to check before you rely on it. All of these come from Notion’s automation docs:

  • Paid plan. “Database automations are available on paid plans on all platforms.”
  • Gmail account. The action won’t work without one.
  • Up to two minutes of delay. Emails “may take up to two minutes to arrive in your recipient’s inbox.”
  • Gmail’s limits. Notion warns you to watch how many recipients a message can have and how many emails you can send in a day.
  • One editor. Once someone links their Gmail account, only that person can edit the automation. Others can only use it.
  • Guests can’t create database automations.
  • Automations won’t act on pages whose access is restricted.

The single-editor rule is the one that bites teams. If the person who linked their Gmail leaves the company, nobody else can change the automation, and you rebuild it from scratch.

Which notification route should you pick?

Pick the built-in copy for yourself, the Gmail automation for a group, and Slack if your team lives there.

Route Plan needed Who gets notified Main catch
Email copy in Form settings Any plan You Personal only
Page added + Send mail to Paid plan Any addresses you enter Gmail account, up to two minutes delay
Send Slack notification to See note below A Slack channel Not email
Send webhook or Zapier Paid plan for webhook Whatever the tool sends to Another service to maintain

Notion’s help contradicts itself on Slack. It says Free Plan users can create Slack notification automations, then says the action is “only available on the Plus, Business, and Enterprise Plans.” Test it on your plan before you build a process around it.

Send webhook posts the page to a URL you choose. Zapier has ready templates that email the team and ping Slack for new Notion form submissions.

My take: start with the email copy. Add an automation only when a second person has to act on responses, because every extra moving part is one more thing to debug when alerts stop.

When an external form builder makes more sense

A separate form builder that writes into Notion can send its own alerts, so you don’t need a paid Notion plan or a Gmail link.

nDBForms, for example, emails you on each new submission. That’s on the free plan, along with Notion sync, embeds and 100 responses a month, and respondents don’t need a Notion account. The pricing page lists what each plan covers.

The limitation: an outside form puts another service between your respondent and your database. If the Notion connection breaks, the email can still arrive while the row is missing. Why a form stops syncing to Notion covers the usual causes.

Common reasons the email never arrives

When a Notion form email notification goes missing, the response itself usually still exists. Check the database first.

  • No row at all. If the response isn’t in the database either, see why Notion form submissions aren’t showing.
  • Email copy switched off. Reopen Form settings → Submit screen and check it.
  • Testing from your own account. Use a private window so you see what a respondent sees.
  • Gmail disconnected. Send mail to sends from the linked Gmail account and stops if that link goes.
  • Restricted page. Automations skip pages with restricted access.

Still stuck? Native forms may not fit your workflow. The limitations of Notion forms covers the trade-offs, and this Notion contact form guide shows a full inquiry form setup.

FAQ

Does Notion email me when someone fills out my form?

Only if you ask it to. In the form builder, open Form settings, then Submit screen, and choose to receive an email copy of each submission.

Can a Notion form email my whole team?

Yes, on a paid plan. Add a database automation with the Page added trigger and the Send mail to action, which sends from a linked Gmail account to one or more recipients.

Can I get Notion form alerts in Slack instead of email?

Yes. The Send Slack notification to action posts to a Slack channel when a new page is added. Notion’s help says Free Plan users can create Slack notification automations.

Why is my Notion form email notification late?

Emails from the Send mail to automation may take up to two minutes to arrive, according to Notion. Gmail’s own sending limits can also stop messages on busy days.
