Notion forms on Reddit: what do people use instead?

The Notion forms alternative Reddit users pick most: a free form builder that writes to Notion, a spreadsheet plus automation, or their own code.

On Reddit, people who outgrow Notion forms mostly move to a free external form builder that writes straight into a Notion database. A smaller group routes a big free form tool through a spreadsheet and an automation, and a few write their own form against the Notion API. Many replies also point out that Notion’s built-in form view is enough for simple jobs, so check that before you switch.

What Reddit threads recommend as a Notion forms alternative

The r/Notion threads on this question land on four options. I read five, from May 2024 to February 2026:

What Reddit users use Who picks it Why
Notion’s own form view People with simple internal or public forms Free, no extra tool
A free form builder with a direct Notion integration Waitlists, contact pages, portfolios Nicer forms, each submission becomes a row
A free form tool, a spreadsheet and an automation People already using spreadsheets Free, flexible, more moving parts
Your own HTML form and the Notion API Developers Full control, no subscription

The most-named external tool, as of November 2026, is Tally. In a July 2025 thread, one user says they use it for waitlists that add directly to a Notion database. In a May 2024 thread, the top reply recommends it because the form links to a database and every submission adds a row.

Why people leave Notion’s built-in forms

Reddit users leave Notion forms for three recurring reasons: logic, presentation and data structure. None of them is about the form failing to save responses.

Conditional logic. In an October 2024 thread, written just after forms launched, the poster spent hours rebuilding forms and got stuck on branching questions. One reply says they went straight back to external builders. Notion has since added logic, but the Notion forms help page says it’s only on Business and Enterprise plans and only for multiple-choice questions.

Public, polished forms. The July 2025 thread starts with a student who wants a contact form on a portfolio site without paying for a tool. The Notion pricing page lists “Basic forms” on Free, while removing Notion branding from public forms starts on Plus.

Two databases from one form. A February 2026 thread describes a board game library that wants a checkout form to also update a games database. One reply: “I don’t think that you can use a single form to feed 2 databases!”

More on each in the limitations of Notion forms.

The built-in form view is often enough

Notion’s built-in form is the first answer many Reddit commenters give. In the July 2025 thread, one reply explains that every Notion database has a form option as a view type, and another adds that public forms don’t need respondents to have a Notion account.

Notion’s help page adds a catch: forms shared with anyone on the web who has the link are automatically anonymous. For a public contact form, add a required name and email question.

If your form is short, has no branching and lives inside a workspace, I’d stay native. Our guide to creating a form in Notion covers the setup.

Free form builders that write to Notion

External form builders with a direct Notion integration are the most common Reddit pick. Each question maps to a database property, and each submission adds a row. No automation in between.

In the favorite form builder thread from January 2024, with 58 comments, people named several Notion-focused builders. One was praised for customization and a Relations feature that links records across databases. Others liked a Notion-style editor.

Before you pick one, check which Notion property types it writes. Relation and people properties are where they differ most. Our guide to choosing a Notion form builder has a checklist.

The spreadsheet and automation route

Some Reddit users keep a big free form tool and add Notion at the end. In the January 2024 thread, one commenter sends a form to Google Sheets and then on to a Notion database, using Make in the middle.

This route is free to start but has the most parts that can break: the form, the sheet, the automation and Notion’s API. It suits people who already run dashboards in a spreadsheet and only want Notion as a nicer view. Our post on Google Forms to a Notion database walks through it.

Building your own form

Developers on Reddit sometimes skip form tools entirely. In the same January 2024 thread, a commenter shares an example repository that saves data from your own HTML form to Notion.

You get full control and no subscription. You also own spam protection, failed writes and every change to your database schema.

Read Reddit form advice with care

Many of the replies in these threads come from people who build form tools. In the July 2025 thread, a representative of one builder writes “I work there so am biased,” and founders of at least two other builders pitch their own products. The January 2024 thread has the same mix.

The advice isn’t wrong for that. Weigh replies from regular users more, and test any tool against your real database before you commit.

Where nDBForms fits

nDBForms is one of the external builders: it reads your Notion database’s properties, builds matching fields, and writes each submission as a new row. Respondents don’t need a Notion account. It supports Notion relation and Notion people questions, and its conditional logic on Pro works with any Notion plan, which covers the logic complaint from the October 2024 thread.

It costs money past the Free plan, which allows 3 forms and 100 responses a month with nDBForms branding. Pro is $12/month. It won’t solve the board game case either: one form still writes to one database. See how it compares with other options.

FAQ

Do I need a separate form tool for Notion at all?

Often not. Every Notion database can have a form view, and people outside your workspace can fill out a public form without a Notion account. People switch when they need logic, branding control or more than basic forms.

Why do Reddit users leave Notion’s built-in forms?

The common reasons in r/Notion threads are missing conditional logic on cheaper plans, wanting a nicer public contact form, and wanting one form to update two databases.

Can one Notion form update two databases?

Not with the built-in form. In an r/Notion thread from February 2026, the suggested fix was one database that the form feeds, plus locked views or relations to show the data elsewhere.

Are Reddit recommendations for form builders reliable?

Read them with care. In the threads reviewed for this post, several replies came from people who work at or founded the tools they recommend, and some said so.
